2024 SCRC Ohio Rally
Rally Meeting Summary for January 16, 2024
Everyone,
Thank you all again for participating in the meeting. At the peak of the meeting I believe we had 15 attendees and just one that had to drop off for other obligations. I know this is a lot of work and I don't want to meeting everyone to death, so I'm going to try my best to keep the meetings to about an hour. We all have lives outside of this.
This email is going to all of the designated voting delegates for the committee, but I know there were a few additional people there. Please feel free to forward this email to those others, or anyone else in the chapter that may have interest.
During this meeting we established a plan to review several other locations so that in short order we can make a decision on a location for this year and get things rolling. Our expectation is that the work we'll do on the various locations we've discussed will also help us make a list of locations for future rallies as well in addition to allowing us to select a location for this year. The current locations under consideration are (in no particular order):
Sandusky area - to be researched for specifics by Larry Deitcher and his wife.
Columbus area, to possibly include Sunberry and Buckeye Lake - researched by Mark Moore, Dave Chandler and Greg Hunt
Zanesville area - researched by Greg Hunt and Dave Chandler
Springfield/Dayton area - researched by Tom and Karen Couch and Steve Weigold
Logan, Hocking - research already done by Dave Chandler
The Mansfield area was discussed, but removed from the list for this consideration. Athens was also suggested and will be considered for future rallies, but removed from this year due to it's proximity to Marietta where the 2023 rally was held.
In doing research on the possible locations, please keep the following priorities in mind and be prepared to discuss them at the next meeting:
- Possible host hotel (consider more than one possible candidate)
- Proximity of potential overflow hotels
- Activities and points of interest and how they can realistically be included
in the rally. Specifically, what makes the area you're looking at unique?
- Proximity to good riding. We don't want an hour of city driving before
we get to the "good" roads.
- Suitable venue/space for vendor setup, bike games and other rally activities.
- are there any events going on during the rally timeframe which may detract
from or complicate the rally?
There may be others. If I've missed any, please let me know. I feel like we should develop this as a formal list to make location considerations easier in the future.
The concept of registration fees as low as possible to allow as many as possible to afford to come was discussed. The idea of "benefit rides" to provide funding for the rally was also discussed. Both of these will be discussed in more detail in future meetings.
A sponsor subcommittee was also formed which includes Nick Shaw, Troy Baylous, Larry Deitcher and Tony Godfrey. The first goal of this subcommittee is to determine what levels of sponsorship should be offered to sponsors, what the dollar value of those levels is, and what benefits sponsors get from sponsoring at each level. If you or your chapter members have input on those levels, please get that to the subcommittee as soon as possible.

My goal for this next meeting is to review the research on each location and discuss pros and cons for each. The outcome of that discussion will be one of:

c: We know enough to remove the location from consideration (for this
rally? or all rallies?)
We'll be looking for a report from the Sponsor Subcommittee on what they think the sponsorship levels and amounts should be and we can discuss that further.
Following that meeting, any additional location research that needs done can be completed.
